Help ensure a smooth enrollment experience and avoid delays for your small groups

August 27, 2024

Open enrollment for groups with Jan. 1, 2024, effective dates begins Tuesday, Oct. 1.

You can help create a smooth enrollment experience for your small (1-50) groups and prevent delays by avoiding some common mistakes and making sure enrollment forms are complete. In addition, we have some other important tips to help ensure enrollment is seamless for your new and renewing groups.

Here are tips for avoiding the most common enrollment mistakes:

  • Make sure to request correct effective dates: Many groups are unsure of their probation period and request dates that don’t match. Others have no qualifying event associated with a requested effective date. Please refer to our Employee Effective Date Calculator for help determining effective dates for each group’s newly enrolling employees.

  • Make sure medical and dental selections match: Members choosing both medical and dental coverage must check both the medical and dental boxes where they list their name, date of birth and gender on their enrollment forms. They must do this for themselves and all covered dependents.

  • Use the right application: Avoid sending applications for the wrong calendar year, line of business or group size. Using the wrong form will cause a group’s application to be rejected. We accept applications and cover sheets for the current and prior calendar year. Application forms for 2025 will be available on our website, through Producer Center and in the eGMA before open enrollment begins.

  • Use an approved enrollment spreadsheet: We can accept only enrollment spreadsheets that are ours. Also, please note that when using spreadsheets, signed applications are still required.

In addition, please be sure to include all class and/or subgroup information when groups have multiple classes or subgroups.

Ensuring all forms are filled out completely—including the entire top section, hours of eligibility and both date of hire (DOH) boxes (original DOH and full-time DOH)—before submitting forms to Asuris_Membership@asuris.com will help us provide groups’ new member ID cards on time.

You can use Producer Center to find a group’s job classes, hours per week requirement and current probationary period to validate whether a requested effective date is correct. You can also check a live census to see if an employee has been enrolled yet.

Thank you for helping create a more seamless enrollment experience for your groups!
